To support our Board of Directors, we’re looking for an experienced and professional Executive Assistant who can bring order to complexity and keep the momentum going every day.
Based on our sustainably designed Rotterdam office, you’ll manage dynamic schedules, coordinate travel, and keep daily operations running smoothly. This is a full-time position (40 hours per week) with the option to work 32 hours if you’re present in the office from Monday through Thursday.
You’ll be a central figure in our board's daily rhythm, someone who brings calm and clarity to complex calendars, creates space for better decision-making and supports high-level operations with professionalism, initiative and a touch of humour.
Your responsibilities as an Executive Assistant
Manage complex and dynamic calendars for board members
Schedule internal and external meetings and coordinate across stakeholders
Book flights and hotels for business travel
Proactively manage agenda flows and help avoid overload by suggesting smarter time use
Act as the first point of contact for scheduling-related communications
Collaborate with executive and non-executive colleagues, including senior managers and support staff
Guard the board’s time by assessing whether meetings are truly necessary
Contribute to a structured, professional, and enjoyable office atmosphere
Your Talents
Proactive and well-organized
Friendly and professional in equal measure
Strong in communication and fluent in both English and Dutch
You can switch easily between a quick chat and a high-level meeting
Someone who brings calm, structure and a smile to the workplace
Not afraid to ask questions or flag inefficiencies
Skilled with MS Office (Outlook, Excel, Word, PowerPoint, Teams)
As our new Front Runner you bring
HBO level of thinking and working, preferably with a secretarial or business support background
At least 5 years of experience in a comparable assistant role
Proven ability to manage complex and dynamic schedules independently
A professional attitude and a structured working style
You are positive, approachable and easy to work with
