To support our CEO and Executive Team, we’re looking for an experienced and professional Executive Assistant who can bring order to complexity and keep the momentum going every day.

Based in our sustainably designed Rotterdam office, you’ll manage dynamic schedules, coordinate travel, and keep daily operations running smoothly. This is a full-time position (40 hours per week) with the option to work 32 hours if you’re present in the office from Monday through Thursday.

You’ll be a central figure in the daily rhythm of our CEO and Executive Team. Someone who brings calm and clarity to complex calendars, creates space for better decision-making and supports high-level operations with professionalism, initiative and a touch of humour.


Your responsibilities as an Executive Assistant

  • Managing complex calendars and schedules for the CEO and members of the Executive Team;

  • Coordinating and organizing meetings, appointments, and business activities and trips;

  • Preparing agendas and taking minutes during meetings and discussions;

  • Preparing reports, presentations, and documents;

  • Organizing and maintaining filing systems;

  • Acting as a reliable point of contact for internal and external stakeholders;

  • Supporting internal communication activities across the organization;

  • Assisting with light marketing and communication-related activities, such as internal announcements, presentations, and company updates;

  • Contributing to a positive, professional, and well-organized office environment;

  • Proactively identifying priorities and ensuring follow-up on action points.  

Your Talents

  • Strong interpersonal and communication skills;

  • Proactive with a hands-on mentality;

  • Strong problem-solving skills and attention to detail;

  • Affinity with internal communication and light marketing activities;

  • Comfortable working with various IT systems and digital tools;

  • Skilled in Microsoft Office applications, including PowerPoint, Excel, Word, and Outlook;

  • Interested in learning and working with new systems and technologies;

  • Able to prioritize effectively and work independently;

  • Discreet, reliable and professional.  

As our new Front Runner you bring

  • At least an HBO (Bachelor) degree, preferably with a secretarial background at Executive level;

  • Minimum of 3–5 years of experience in a similar role;

  • Proven ability to manage complex and dynamic schedules independently;

  • Availability of at least 4 full days per week;

  • Excellent command of both Dutch and English, written and spoken;

  • Strong proficiency in Microsoft Office and digital systems;

  • The ability to thrive in a fast-paced and entrepreneurial environment.
